How do I onboard a new dataset?

1. To log into the test environment for Metadata Exchange, go to https://nhse-uat-exchange.metadata.works/onboarding. You will see the screen below; you will need to enter your credentials.

2. Once you have logged into the Metadata Exchange, the first page you will be presented with is the ONBOARDING PORTAL, which is shown below.

It will show the datasets for the standards in the NHSE (NHS England) group, as this is the group to which your log in credentials are linked.

Note that you will be able to view Draft and Live versions of the same standard, if both exist.

The Metadata Status shows metadata completion by Section and has a red, amber and green colour coding.

3. Your next step is to onboard your first dataset or standard. To begin, click on the red Onboard New Metadata + button, located in the top right hand corner.

4. The Onboarding Wizard will guide you through the process of filling out the metadata fields for each of the sections (Summary, Documentation, Publisher and Document Control.)

Please note: Mandatory fields in the Summary section are marked with an asterisk. These must be filled out before moving onto the next metadata section or saving the dataset.

5. To view completion guidance for each metadata field, click on the (i) icon to the right of each field.

Then you will see the pop up box below; if you click on the link shown here, it will take you to the Metadata Completion guidance for the specific element:

6. Once you have completed the mandatory fields in the Summary section you can either

  • Click on Save Changes to save your progress and come back to the dataset at a later date. Once you have clicked Save Changes, your screen will look as below (in this case with only the Summary section completed.)

  • Click the Continue button; this will both Save progress and take you to the next section (Documentation).

Published vs. unpublished standard

Published standards appear in the Published standards section of the browser interface, whereas Unpublished standards appear in the Future standards section.

  1. To make a standard dataset entry into a Published standard, mark the Is Published Standard element within the Document Control section as True.

  2. To make a standard dataset entry into an Unpublished standard, mark the Is Published Standard element within the Document Control section as False.

Completing the entry

  1. When you have entered all the data you need to for all sections, click on Progress Overview to view a summary of the progress you have made.

     

  2. The Progress Overview page gives you a full rundown of your dataset; you can edit any elements as you see fit by clicking on the link to the relevant one:

     

  3. Your next step is to Publish your dataset.
